Terms of Service

IMPORTANT: PLEASE READ THESE TERMS CAREFULLY BEFORE USING JOBIVO. THEY INCLUDE IMPORTANT PROVISIONS ABOUT ONLINE PAYMENTS, YOUR RESPONSIBILITY FOR THE INVOICES YOU ISSUE, AND LIMITS ON JOBIVO'S LIABILITY.
1. Who We Are and Acceptance
These Terms of Service (the "Terms") are a legal agreement between you and Jobivo ("Jobivo", "we", "us") for the Jobivo job-management platform — the web application at jobivo.co.uk and the Jobivo mobile apps (together, the "Service"). By creating an account or using the Service you accept these Terms. Where you download Jobivo from an app store such as Google Play or the Apple App Store, this agreement is between you and Jobivo, not the app-store provider; Jobivo is solely responsible for the Service, and your use must also comply with the applicable app store's terms.
2. Business Use Only
Jobivo is a business tool for trades and field-service companies. By using the Service you confirm that you are at least 18 years old and that you use the Service in the course of a business — not as a consumer. In these Terms, "your customers" means the people and businesses you serve and record in your workspace.
3. Your Account and Team
- Accurate information: you must provide accurate account and company details and keep them up to date
- Credentials: you are responsible for keeping your sign-in credentials secure and for all activity under your account
- Team members: you are responsible for the people you invite to your workspace and for the access you grant them
4. Trial, Subscriptions and Billing
Jobivo offers a 30-day free trial — no card is required to start. After the trial, continued use requires a paid subscription (per-seat plans billed monthly through Stripe). Pricing shown on the pricing page or in your billing settings prevails.
- Auto-renewal: subscriptions renew automatically each billing period until cancelled; your payment method is charged at renewal
- Cancellation: you can cancel at any time in your account settings; cancellation takes effect at the end of the current billing period
- Seats: the number of active team members is limited by the seats on your plan; reducing seats takes effect from your next billing period
- Refunds: except where required by law, fees already paid are not refunded and unused portions of a billing period are not credited
- Price changes: we will give you at least 14 days' notice of any price change, which applies from your next renewal
- VAT: unless stated otherwise, fees are exclusive of any applicable VAT or similar taxes
5. Licence and Restrictions
Subject to these Terms, Jobivo grants you a limited, non-exclusive, non-transferable, revocable licence to use the Service to run your own field-service business, on devices you own or control and in accordance with your plan.
You may not:
- Resell, redistribute, sublicense, or rent the Service to third parties
- Copy, decompile, reverse-engineer, disassemble, or modify the Service, or create derivative works from it
- Use the Service to build or train a competing product or service
- Circumvent usage limits, access another workspace without authorisation, or remove proprietary notices
6. Your Content
You retain ownership of the jobs, customers, photos, quotes, invoices, notes, and other content you create in the Service ("Your Content"). You grant Jobivo a limited licence to host, process, transmit, and display Your Content solely to provide the Service to you and your workspace.
You are responsible for Your Content and warrant that you have the rights, consents, and lawful basis needed for everything you upload — including photographs of customers' properties and the GPS coordinates captured with photo evidence — and for giving your customers any privacy notices the law requires of your business.
7. Quotes, Invoices and Tax
Jobivo provides tools to create and send quotes and invoices. You are solely responsible for the accuracy, completeness, legality, and tax treatment (including VAT) of every document you issue through the Service. Jobivo is software, not an accountant: nothing in the Service is accounting, tax, or legal advice.
8. Online Payments (Stripe)
Online invoice payments are processed by Stripe. Jobivo is not a bank, a payment processor, or the merchant of record for your sales — payments are made by your customers to you, through your own Stripe account.
To accept online payments you must connect a Stripe account. By doing so you also agree to the Stripe Connected Account Agreement, which includes the Stripe Services Agreement, as the same may be modified by Stripe from time to time. Stripe's handling of personal data is described in the Stripe Privacy Policy.
What Jobivo does on your Stripe account:
- Creates checkout links so customers can pay your invoices by card, Apple Pay, or Google Pay
- Reads payment, refund, payout, and account-status information to show it in Jobivo and mark invoices paid
- Mirrors refunds you issue in Stripe back onto the matching Jobivo invoice
You authorise Jobivo to perform this activity and to share necessary data with Stripe for this purpose.
- Platform fee: Jobivo charges a 99p platform fee per invoice paid online, deducted from the payment before payout. The fee is exclusive of any applicable VAT and is not returned if the payment is later refunded
- Stripe fees: Stripe's own processing fees are set by Stripe, charged to your Stripe account, and are your responsibility
- Your responsibility: as the merchant of record you are responsible for the goods and services you sell, and for refunds, chargebacks, disputes, and any related fines on your Stripe account
- Restricted businesses: you must not use online payments for any category on Stripe's restricted businesses list (stripe.com/legal/restricted-businesses); we may suspend payments access for breach, and Stripe may do so independently
9. Tap to Pay
Where available, Tap to Pay lets you take contactless card payments in person on a supported phone. Tap to Pay is provided by Stripe and requires your in-app acceptance of Stripe's Tap to Pay terms. Device eligibility (for example operating-system version and security requirements) is determined by Stripe and the platform provider and may change. All provisions of section 8 apply to payments taken with Tap to Pay.
10. Accounting Integrations (Xero and QuickBooks)
You may optionally connect your own Xero organisation or QuickBooks Online company. When connected, Jobivo pushes the data needed to keep your books current — invoices, the customers they belong to, and payment records — and reads back payment status, plus the reference lists needed to configure the sync (such as account codes and tax rates).
- Your instruction: data is only sent to a provider you have connected, under the sync settings you choose; auto-sync can be turned off at any time
- Their terms: once data is in Xero or QuickBooks it is governed by your agreement with that provider
- Disconnecting: you can disconnect at any time in Settings → Connections; Jobivo revokes its access tokens and stops syncing immediately
- Our commitments: Jobivo never sells data obtained from a connected accounting provider, never shares it in aggregate with third parties, never uses it to train AI models, and deletes it on disconnection or on request
Third-party services can change or become unavailable; Jobivo does not warrant them and is not responsible for the accuracy of records inside them. Review synced records in your accounting software as part of your normal bookkeeping.
11. Data Protection and Roles
How we handle personal data is described in our Privacy Policy. For data protection purposes: you are the controller of the personal data in Your Content (your customers, sites, photos, and job records) and Jobivo processes it on your behalf and on your instructions; Jobivo is the controller of your account, billing, and usage data.
A Data Processing Addendum setting out our processor obligations under UK GDPR Article 28 is available on request from privacy@jobivo.co.uk.
12. Acceptable Use
You agree not to:
- Use the Service for any unlawful, fraudulent, or harmful purpose
- Upload content that is defamatory, infringing, or that you have no right to use
- Collect personal data through the Service without a lawful basis, or send spam
- Probe, scan, overload, or attempt to gain unauthorised access to the Service or another workspace
- Misrepresent your identity or business
13. Communications
We send transactional email (for example invites, invoice sends, and payment receipts) and push notifications as part of operating the Service. We may also send you product news about Jobivo; you can opt out of marketing at any time via the unsubscribe link or by emailing privacy@jobivo.co.uk. Emails you send to your customers through the Service (quotes, invoices) are sent on your behalf, and you are responsible for having the right to contact those recipients.
14. Availability, Beta Features, Support and Backups
- Availability: we aim for high availability but do not guarantee the Service will be uninterrupted or error-free, and no service-level agreement applies to standard plans
- Beta features: features identified as beta or early access are provided as-is and may change or be withdrawn
- Support: Jobivo (not any app-store provider) is responsible for maintenance and support — contact support@jobivo.co.uk
- Backups: we back up service data as part of normal operations, but you are responsible for keeping your own copies of records you must retain; the Service provides data export for this purpose
15. Intellectual Property
The Service — its design, features, documentation, and all associated intellectual property — is owned by Jobivo and protected by copyright, trademark, and other laws. "Jobivo" and associated logos are trademarks of Jobivo. Stripe, Xero, and QuickBooks are trademarks of their respective owners; their use in the Service does not imply endorsement.
16. Suspension and Termination
You may stop using the Service and cancel at any time. We may suspend or terminate your access if you materially breach these Terms, if fees are unpaid, if your use presents a security or legal risk, or where a connected provider (such as Stripe, Xero, or Intuit) requires us to cut off access. Where practical we will notify you and give you the opportunity to export Your Content. On termination your licence ends; data deletion follows the retention terms in our Privacy Policy.
17. Warranty Disclaimer
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY LAW, JOBIVO DISCLAIMS ALL WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
Jobivo does not warrant that the Service will meet your requirements, be uninterrupted, error-free, or secure, or that results obtained from it (including financial figures) will be accurate or reliable.
18. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, JOBIVO SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, PROFITS, REVENUE, OR GOODWILL, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.
Jobivo's total liability under these Terms shall not exceed the fees you paid for the Service in the twelve months before the event giving rise to the claim.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under the law of England and Wales.
19. Indemnity
You agree to indemnify and hold Jobivo harmless from claims, losses, and damages arising from Your Content, your invoices and their tax treatment, disputes with your customers (including payment disputes and chargebacks), your use of the Service, or your breach of these Terms.
20. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes through the Service or by email, and the "Last updated" date above will change. Your continued use after the change takes effect constitutes acceptance.
21. Governing Law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them or the Service.
22. General
- Entire agreement: these Terms, the Privacy Policy, and any addendum you agree with us form the entire agreement about the Service and supersede prior agreements
- Severability: if any provision is held invalid, the remaining provisions continue in full force
- Assignment: you may not assign these Terms without our consent; we may assign them as part of a reorganisation or sale of the business
- No waiver: a failure to enforce a provision is not a waiver of it
