The rules for F-Gas leak checks

Which equipment

Equipment holding 5 tonnes CO2 equivalent or more of F-gas. Hermetically sealed equipment under 10 tonnes is exempt if labelled.

How often

Every 12 months from 5 tonnes, every 6 months from 50 tonnes and every 3 months from 500 tonnes.

What is on a leak check record

Equipment
Description, category, location, refrigerant, charge and leak detection.
Visit
The work done, the test method and result, and gas added or recovered.
Installed gas origin
Whether added gas was virgin, recycled or reclaimed, and where it came from.
Sign off
The visit date, the date of next test, who received the record and their signature.

What the form does for you

  • Works out tonnes CO2 equivalent from the refrigerant and the charge.
  • Works out the leak check interval from that figure and whether leak detection is fitted.
  • After a repaired leak, sets the next check one month on.
  • Cannot be issued until the engineer's F-Gas category is on file. Your company certificate number is printed on the record.

After it is issued

A signed PDF

Digitally signed when issued. Changing the file breaks the signature.

A QR code and an online copy

The QR code on the record opens its online copy. No account is needed to read it.

Serial number

The code, the year and your company's running number: the code, the year and your company's running number.

Send it

Share the PDF or copy the link from the phone. Add it to the job's invoice and it goes out with the invoice email.

On the certificates register

Listed with its date of next test. It reads Due from the day that date arrives.

Issued when the job is completed

A finished draft on a completed job is issued for the engineer who filled it in.

What the record has to hold

The regulation lists it: the quantity and type of gas installed, any added, whether it was recycled or reclaimed and from where, the quantity recovered, who did the work and their certificate number, and the dates and results of leak checks. The form has a place for each.
